Welcome to ScanBase. These Terms & Conditions outline the rules and regulations for using our products, services, and website. By accessing our platform or purchasing any product from ScanBase, you agree to the following terms.
1. General
ScanBase provides customized NFC and QR code standees for businesses and individuals.
By placing an order, you confirm that all information provided is accurate.
ScanBase reserves the right to update or modify these Terms & Conditions at any time.
2. Orders & Customization
All products are custom-made based on the design approved by the customer.
Once the design is approved, no changes can be made.
Orders will only begin processing once full payment is received.
Processing steps include: design preparation, manufacturing, programming, and dispatch.
3. Payment Terms
100% advance payment is required for all customized orders.
Payments are accepted via UPI, bank transfer, or other supported methods.
Prices mentioned on the website or shared by our team may change without prior notice.
4. Design Policy
Customers must review and approve the design before production.
ScanBase is not responsible for errors in spellings, names, logos, contact details, or colours once the design has been approved.
If the customer does not provide the original CDR file for UV printing, slight colour variation may occur due to file conversion. ScanBase shall not be responsible for any colour differences resulting from missing CDR files.
All design files provided by customers must be original and authorized for use.
5. Manufacturing & Programming
All products are handcrafted and may have minor variations due to the nature of materials.
NFC and QR programming is done according to the details provided by the customer.
ScanBase is not responsible if the customer provides incorrect links, payment UPI IDs, or website URLs.
In digitally printed QR sections, small bubbles may appear due to the printing or lamination process. These bubbles are normal, not visible from a distance, and only noticeable when viewed very closely. This is not considered a defect.
ScanBase provides both UV-printed and digitally printed QR codes. If the customer clearly informs us which type of QR they prefer (UV or Digital), we will create exactly that. However, if the customer does not specify their preferred QR type, ScanBase will choose the most suitable option based on the provided design file.
6. Shipping & Delivery
Estimated delivery time is provided at the time of order but may vary due to courier delays or unforeseen issues.
ScanBase is not responsible for delays caused by third-party courier services.
Once dispatched, tracking details will be shared with the customer.
7. Returns & Refunds
No returns or refunds are available for customized products.
A refund is only possible if:
The wrong product is delivered
The product is damaged during transit (unboxing video mandatory)
Customers must share an unboxing video as proof in case of damage claims.
8. Warranty
ScanBase provides a 7-day warranty for NFC and QR functionality.
Warranty does not cover:
Physical damage
Water damage
Mishandling
Incorrect usage
Warranty claims must be supported with clear photos or videos.
9. Usage Guidelines
QR codes and NFC chips may stop working if the product is dropped, scratched, bent, or exposed to liquids.
Customers are advised to keep the product clean and away from extreme temperatures.
10. Intellectual Property
All logos, brand names, and assets provided by the customer must be owned or authorized by them.
ScanBase is not responsible for copyright issues arising from customer-provided material.
11. Limitation of Liability
ScanBase is not responsible for:
- Business losses due to non-functioning of QR/NFC
- Incorrect or outdated customer information
- Third-party website downtime
- Payment gateway failures
